Privacy notice

This notice describes how ResourceHive handles personal information when people explore the service, create an account, join an organization, and share or book resources.

Who operates ResourceHive

ResourceHive is the operator of the ResourceHive service. For privacy questions or requests, contact us at thisismalindu@gmail.com. The marketing website and authenticated application are separate parts of the service.

Information we use

Depending on how you use ResourceHive, this may include your name, email address, password hash, email-verification status, profile photo, and account settings. If you sign in with Google, we receive and use your Google account identifier, verified email address, and basic profile name to create or connect your ResourceHive account. We do not receive your Google password or store Google access or refresh tokens.

We also process organization membership requests and roles; resources and images users submit; bookings, cancellations, and disputes; ratings and reviews; points and their transaction history; in-app and email notifications; browser push-subscription tokens when you enable push; and technical records needed to protect and operate the service. Do not put sensitive personal information in public resource descriptions, reviews, or dispute attachments unless it is necessary for that workflow.

How we use information

We use information to create and secure accounts, verify email addresses, provide Google sign-in, administer organization membership, display and manage resources, operate bookings and points, review disputes, show ratings, send service messages, deliver push notifications you enable, prevent abuse, and maintain the service. We do not sell personal information or use Google sign-in data for advertising.

Depending on the activity and applicable law, we process information to provide a feature you request, with your choice for optional features such as browser push, to meet legal requirements, and to protect the service and its users. We do not treat every use of account information as consent-based.

Who can see information

Organization administrators can see membership information and service records needed to manage their organization. Other members may see names, profile photos, reviews, and resource or booking details where the relevant feature makes them visible. Access depends on organization roles and the feature being used; not every record is public to every user.

Service providers and international processing

We use Vercel for web hosting and marketing analytics, Neon for the database, Google for sign-in, Firebase for browser push, Resend for email, Cloudinary for images, and Linode to host application infrastructure that includes Redis and Kafka. These providers may process information outside Sri Lanka depending on their infrastructure and configuration. We share information with them only as needed to provide or protect the service, respond to a user request, or meet a legal obligation.

Retention and account deletion

We keep information while it is needed to provide the service, maintain account and organization records, resolve disputes, prevent abuse, and meet applicable obligations. Booking, point, membership-review, and security records may need to remain after a related activity ends. ResourceHive does not currently offer self-service account deletion or publish fixed retention periods for each record type. You can email us to request deletion or ask about a record; we will review the request and explain any information we need to retain.

Your requests and choices

You can ask us to provide access to or correct information associated with your account, or to review a deletion request, by emailing thisismalindu@gmail.com. We may need to verify that the request comes from you and coordinate with an organization administrator where organization records are involved. You can remove a linked Google sign-in method from Account Settings when the account has a password, and manage browser push permission in your browser and ResourceHive notification settings.

Changes to this notice

We will update the date above when this notice changes. If a change materially affects how we use information, we will provide an appropriate notice through the service or by email.
